Right to Rent Process Log | Free Follow-Up Date Calculator for Landlords (England)

Privacy & Data • Browser-only

Your data stays on your device

Right to Rent Process Log is designed as a calm documentation tool, not a platform. The log you fill in runs in your browser and is intended to help you keep an audit trail. We do not provide immigration advice and we do not “check” a tenant’s status.

At a glance

This is the short version. If you’re in a rush, this is the bit you want.

No accounts

No sign-up, no user profiles

You can use the tool without creating an account. We don’t operate user dashboards or saved histories.

No uploads

No documents sent to us

We don’t ask you to upload passports, share codes, visas, or any identity documents.

No tracking

No behaviour tracking

The aim is calm compliance, not surveillance. This site is built to work without analytics cookies or profiling.

What we collect

We try to keep this simple: if we don’t need it, we don’t ask for it. Where the Process Log includes fields that could contain personal data, it’s because landlords may need them for their own records.

Information you type into the Process Log The log may include names, dates, and reference numbers depending on what you choose to record. This can be personal data under UK GDPR. The tool is designed so this data stays in your browser for your own audit note. :contentReference[oaicite:3]{index=3}
Contact messages If you contact us (for example via Contact), we’ll receive what you send (usually your email address and message contents). Use that form for site support, not for sharing tenant identity documents.
Server logs Like most websites, basic server logs may record limited technical data (for example IP address and user agent) for security and reliability. We don’t use this to build profiles or track you around the web. (If you later add analytics or ads, this section should be updated.)

Browser-only processing

When we say “runs locally”, we mean the calculation and the audit-note formatting happen in your browser. It’s closer to filling in a checklist than “sending data to a system”.

Follow-up dates The follow-up date logic is calculated on your device from the dates you enter. The site aims to show the reasoning clearly, but it doesn’t replace the official rules or guidance.
Printable audit note The audit note is generated for your records so you can print or save it as a PDF. What you do with that file afterwards is your choice. If you store it, keep it secure.
Links to official services Some routes require you to use official GOV.UK or Home Office services (for example share code checks or LCS). When you click those links, you leave our site and the third-party privacy rules apply.

If you want the authoritative routes and wording, keep Sources & Guidance open in another tab.

Cookies

We aim to keep this site usable without non-essential cookies. If we ever add analytics or advertising, we’ll update this page and (where required) ask for consent.

Current

Non-essential cookies

At the moment, the goal is to run without analytics cookies or ad tracking. If this changes, you’ll see a clear notice and options.

Essential only

Necessary site features

Some sites use essential storage for security or basic functionality. Where storage/access tech is used, it should be explained plainly. :contentReference[oaicite:4]{index=4}

If we add ads

Advertising cookies

Advertising cookies are generally non-essential, so consent is normally required. If ads are introduced, we’ll publish what changes and why. :contentReference[oaicite:5]{index=5}

Your rights

UK GDPR gives people rights over their personal data. If we don’t hold your data, most requests are naturally limited, but we still take rights seriously and we’ll be straight with you.

Under UK GDPR, individuals have rights such as the right to be informed, access, rectification, erasure, restriction, data portability, and objection. :contentReference[oaicite:7]{index=7}

If your request relates to information you typed into the Process Log and kept on your own device, you can usually handle it yourself (edit it, delete it, reprint it). If your request relates to a message you sent via our Contact page, we can help with that.

If you’re unhappy with how personal data is handled, you can complain to the UK Information Commissioner’s Office (ICO). The ICO also explains what privacy information organisations should provide. :contentReference[oaicite:8]{index=8}

Retention and security

Your audit notes are for your records. That means you control retention, storage, and who can access them. We’ll keep our side minimal and sensible.

Audit note retention If you save or print an audit note, keep it securely and only for as long as you need it. Consider your own legal and property management retention needs.
Device security Because the tool runs in your browser, your device security matters. Use a passcode, keep software updated, and be careful when using shared computers.
Third-party websites When you click through to GOV.UK or Home Office services, their privacy notices apply. Always double-check you’re on an official domain before entering any details.

Contact
